How it works — 4 steps

The lead arrives labelled with where it came from

Assistant conversations and every form on the site land here on their own, under one of eight sources: AI Assistant, Contact Form, Property Inquiry, Referral, Open House, Social Media, Phone Call, Manual Entry. Outside sources — portals, ad forms, spreadsheets — deliver through a keyed Zapier endpoint that writes the source and the New status insert-only, so first touch is never overwritten. Not every source supplies every field.

Quick Add: paste or dictate a sentence, AI fills the form

Paste a WhatsApp message, an email or your notes from a call — or just dictate it — and an AI parse fills name, email, phone and message. Full Entry is there when you want the complete form. Both check for a duplicate on email and phone before saving and warn you in the form; it is a check, not a guarantee.

Open the record, not a row

Contact details, source and created date, the original inquiry, the linked property, status, type, notes and the AI brief in one panel with inline editing. Search runs across name, email and phone, the list pages at 50 rows, and an inserted or updated lead appears without a refresh.

Export when you need it

CSV or Excel, the filtered set or the whole book, over eight columns — Name, Email, Phone, Source, Status, Message, Property, Date. The server pulls the full dataset rather than the 50 rows on screen, up to 50,000 rows, and the CSV carries a UTF-8 byte-order mark so accents survive Excel.

Contact info with one-click copy

Email and phone number with a copy-to-clipboard button. Contact details, status, type and notes are edited inline in the same drawer.

Text and voice notes

Notes typed or spoken, each with its timestamp, plus the website chat sessions with their transcripts. Everything you know about this person stays attached to the record.

AI Brief — up to 8 signal tags

One click condenses the stored fields and the website chat into tags like Hot lead, Urgent, Cash buyer, Pre-approved, Investor, Relocating, First-time buyer, plus preference tags such as Waterfront or Needs parking. They are an AI reading of what is on file — not qualification, creditworthiness or permission to contact.

Source, property and portal activity

Where the lead came from — AI Assistant, Contact Form, Property Inquiry, Referral, Open House, Social Media, Phone Call or Manual Entry — which property they asked about, and what they did on your own website: homes saved, searches saved, listings recently viewed and sign-ins, each with its timestamp. Portal activity depends on the visitor consenting and signing in.
