Finish the Showing. Speak the Debrief. AI Organizes It in Your CRM.

Record from a lead profile, rental unit, task, Quick Actions, or the dedicated Voice Notes page. WebGrowly transcribes the language you spoke, summarizes the note, extracts action items, and suggests the right lead — for you to confirm.

A Voice Note, Already Organized for the CRM

Transcript, summary, action items, and suggested lead — all on one screen.

How It Works — 4 Steps

Press Record Wherever the Work Happens

Use the microphone from Voice Notes, a lead profile, a rental-unit note, the task form, or Quick Actions. There is no separate app or recorder to open — the browser microphone handles the capture.

Speak Naturally, Then Review the Recording

Describe the showing, summarize a call, note something about a property, or dictate a task. You can pause, resume, and play it back. Each recording runs up to three minutes, warns you at 2:30, and stops after roughly two seconds of silence.

AI Structures What You Said

WebGrowly returns the full transcript, a two- or three-sentence summary, key points, action items with real dates, a sentiment interpretation, and proposed tasks with a title, priority, and type. It also suggests a lead based on names mentioned in the recording.

Confirm, Save, and Link

Accept or dismiss the suggested lead before saving. WebGrowly stores the note and analysis, adds only the tasks you approved to Daily Tasks, and places the note on the selected lead's timeline.

What AI Organizes from Every Note

Transcription

Transcript

The text in the language you spoke — searchable, and editable and re-analysable when a word came out wrong

AI-written

Summary

A clear two- or three-sentence account of what the recording covered

Extracted

Key Points

The note broken into its points, so a three-minute debrief can be read back in ten seconds

Auto-extracted

Action Items

Tasks pulled out of the recording — "call back Thursday", "send the contract" — with spoken dates turned into real date-times in your timezone, defaulting to 09:00 when no time was said. Each proposed task carries a title, a priority and a type: call, email, meeting, viewing, follow-up or other

Interpretation

Sentiment

Positive, neutral, negative or urgent — one of four values you can filter the archive by. An interpretation of the note, not a fact about the client

CRM-linked

Lead Match

AI suggests which lead to link the note to based on the names you spoke — you accept or dismiss it, it is never assigned silently

Why It Works Better Than Notes You Plan to Type Later

Capture thoughts the moment they happen

After a showing, you're standing in the driveway. You're not going to open a laptop to type notes. But you will press a button and speak. Those observations — the client's reaction, the concerns they mentioned, the price they hinted at — make it into your CRM instead of disappearing.

Nothing falls through the cracks

The AI pulls the action items out of what you said and proposes them as tasks. "I need to send the HOA docs by Friday" becomes a task dated Friday. "They want to see the unit on the 14th" becomes a viewing task on the 14th. You accept the ones you want; they land in Daily Tasks.

Your notes stay with the right lead

Voice notes link to leads. When you open a client's profile, their voice note history is right there — alongside their emails, inquiry, and follow-up timeline. Everything about them in one place.
